Sample bid · read only

One bid, screen by screen: Sample Co.

Sample Co is an invented 24-person IT services firm in Ohio. The buyer, the Ohio Department of Example, and the solicitation, RFP-2026-0417 for managed IT support, are invented too. The screens are what a client sees in their own workspace.

Screen 1: the bid page for RFP-2026-0417 after the upload on day 0. The uploaded files and the inventory of what the buyer asks for.

1 · Sent

Seven files in. Forty-one things the buyer asks for, found.

Sample Co dragged in the solicitation and six documents it already had. Keelbid built the inventory in the buyer's numbering; the proposal lead corrected one line and approved it. The written quote went out the same afternoon.

Screen 2: a paragraph of the draft on day 2. Two sentences carry citation chips naming their files. One sentence is red because no file proves it.

2 · Written

Every sentence has a chip. One has none, so it is red.

Sample Co has supported 1,100 county workstations for a comparable Ohio office since 2022 PastPerf-Ohio.pdf · p.2 and holds a current SOC 2 Type II report SOC2-2025.pdf. The team maintains 24-hour on-site coverage. The proposed lead holds a PMP and nine years running help-desk teams Resume-J-Smith.pdf.

The red sentence is what Sample Co's old proposal said. No uploaded file proves it, so it became question 4 of 7, to the help-desk lead, due Thursday 5 pm. A reviewer can tap any chip to open the file at that page.

Screen 3: the question as the expert sees it on a phone, with Answer and Needs more buttons, then the answer she gave, accepted.

3 · Asked and answered

One minute on a phone.

Do we have 24-hour on-site coverage for the county contract, or on-call? If on-call, is there a written policy?

Concerns: "The team maintains 24-hour on-site coverage." Volume 1, 3.2.

answered 09:40, from a phone1 min 12 s

"On-call after 6 pm, two techs rotate weekly. Policy attached."

Priya N., help desk lead · OnCall-Policy.pdf attached · Accepted

Keelbid read the policy: on-call cover from 6 pm to 7 am, 30-minute response. That proves a different claim than the red sentence made, so the sentence is rewritten, not just cited.

Screen 4: the same paragraph after the answer. The red sentence is replaced by a green, cited one.

4 · Updated

The response updated itself.

Sample Co has supported 1,100 county workstations for a comparable Ohio office since 2022 PastPerf-Ohio.pdf · p.2 and holds a current SOC 2 Type II report SOC2-2025.pdf. Help-desk staff are on site during county hours, with two technicians on a weekly on-call rotation from 6 pm to 7 am and a 30-minute response commitment OnCall-Policy.pdf. The proposed lead holds a PMP and nine years running help-desk teams Resume-J-Smith.pdf.

Smaller than the old claim, and true. By day 5 the other six questions were closed the same way, and the red-team checklist read 41 of 41 answered, 0 unproven.

Screen 5: the export list on day 13, three files named the way the solicitation asks.

5 · Submitted

Three files, in the State's format.

  • SampleCo_Vol1_Technical.docx · 28 pages
  • SampleCo_Vol2_Price.xlsx · State workbook
  • SampleCo_Forms.pdf · 4 forms, signed

Word with the State's headings, 28 pages of a 30-page limit. The price on the State's own workbook. The forms filled and placed where Section L says. Delivered on day 13 as the quote promised; the State's deadline was day 14.

The names are invented. The screens are not.
