How it works

One bid, five steps, fourteen days.

This is the same Sample Co bid the home page shows, step by step, with what happens on each day and what you have to do. The short answer: send the RFP, answer a few one-minute questions, approve the finished response.

Day 0

Send the RFP.

Drag the solicitation into your workspace, then whatever you have: past proposals, resumes, contracts, certificates, insurance, rate cards. Nothing needs sorting. Files reach the workspace only through this screen, and only your people can upload or delete them.

Keelbid reads the whole package and builds the inventory: every requirement, every form, every page limit and every date the buyer set, in the buyer's own numbering. Section L (how to submit) and Section M (how it is scored) are mapped to each other, so nothing scored goes unwritten. You see the inventory the same day and can correct it.

Before any work starts you get a quote and a date in writing. If you say yes, day 1 begins.

Back on day 0: the full list of what the buyer asks for, plus the questions to send the buyer before the Q&A deadline.

Day 2

The whole response, written.

Not an outline and not a template. The full draft, every section, in the buyer's order, written from your documents. Every sentence that states a fact carries a chip naming the file it came from; reviewers can open the file from the chip.

Anything the documents cannot back is marked in red and left visible; it becomes a question. Numbers are not rounded up, dates are not guessed, nothing is made up to fill a page. You read the draft once on day 2 and send your corrections.

Day 3

Your expert answers from a phone.

Each red sentence becomes one short question, sent by a link to the one person who knows, with a due date. They open it on their phone, answer in a sentence or attach the file, and tap Answer. That is the whole job; it takes about a minute, and they need no account.

"See attached" is not accepted on its own. Keelbid reads what came back, checks that it proves the claim, updates the response and marks the sentence proven. If it does not, the question goes back with what is still missing. You see every open question, who holds it and when it is due, on one screen.

Day 5

Red team closed.

Red team is the proposal world's name for the last hard read: does this response answer what the buyer asked, in the order asked, with proof? Keelbid runs it as a checklist against the day-0 inventory: every requirement answered, every claim backed by a file, pricing and forms checked, page limits counted.

Then your reviewers read the finished response once, on any screen, and say yes or no to each page. Every "no" becomes a fix. The bid closes when the list is empty.

The day-5 report, in numbers.

  • 41 of 41 requirements answered
  • 0 unproven sentences
  • Reviewer: approved

Day 13

Submitted, in the buyer's format.

Word, PDF and Excel are built exactly the way the solicitation asks: the buyer's headings, forms, page limits and file names. Price sheets go into the buyer's own workbook. Required forms are filled and placed where the instructions say.

The files arrive by the date in the quote, before the buyer's date, so there is time for a last read and a calm upload to the portal. Days 6 to 12 are yours to keep for the next bid.

Your part

Three things, and only three.

  1. Send the RFP and your files on day 0, and say yes to the written quote.
  2. Answer the questions your experts receive on day 3. Most bids have fewer than ten.
  3. Approve the finished response on day 5, page by page, from any screen.

Everything else is ours. See the Sample Co bid for the screens, or the price.

No sales calls. Everything in writing. We reply within one business day.
